The following items are required for each participant to abide by on the Wings and Wheels event.

  1. Environmental protection:
    Digging, breaking branches, damaging trees etc is strictly prohibited.
    All vehicles have to stay on the concrete at all times, they can never be on the grass. This also counts for parts hanging over the grass.
    Every participant should keep his pitch/campsite nice and clean. Garbage bags will be distributed by the organisation on your arrival. Extra bags can be picked up at the office of each department Wheels, Re-enactment and Fair.
    Disposing of tableware or other similar leftovers is prohibited in the grass verges. The fluids must be collected and must not be discharged into the surface collectors. Participants are expected to help maintain the ground in a clean and tidy condition and their rubbish should be placed in the garbage cans on site.
    Ursel is an active airfield. Litter can cause accidents with possible fatal consequences.
  2. Liability:
    Nor the organizers, nor their co-workers can be held responsible for theft, loss of or damage to the stalls or its contents and/or the vehicles and planes on display. They can also not be held responsible for accidents or for any personal injury sustained on the showground and this during the full period of the event, including build-up and demolision.
    All damage caused by a participant or a visitor shall be repaired at his own expense.
  3. Generators:
    Generators are allowed, if fitted with a solid earthling, and if placed on a non-penetrable surface at a maximum of 10 metres from the concrete border. They should also cause no inconvenience to the environment or other participants.
  4. Gas cylinders:
    Gas cylinders are allowed, if fitted with a pressure regulator and the necessary couplings. Gas cylinders should be handled with great caution. Never put them in the direct sun. The fire brigade will perform regular check-ups.
  5. Fire extinguishers:
    All participants must have a valid and inspected fire extinguisher on the spot. A participant is liable for all damage caused by a fire.
  6. Vehicle movement:
    No movement of motorized vehicles is permitted in the “fair” zone between 9 am and 5 pm and all traffic is at all times prohibited in the “catering” zone, apart from organizers and emergency services.
    Movements with civilian vehicles are forbidden without permission of the organization.
    In the “wheels” zone, movement of historical military vehicles is permitted but not advised. Exception: participants to the organized tours.
    Each moving vehicle weighing more than 3.5 ton has to be preceded on foot by a steward of the organization.
    In order to insure the visitors’ safety, All moving vehicles are to switch on their headlights and indicators.
    All vehicle movement is on the driver’s responsibility. The driver should have a valid driver’s license for the vehicle he is driving.
    A 5 km/h speed limit is applied within the W&W domain.
    ALL movement of motorized vehicles is prohibited between 10 pm and 6 am, apart from organizers and emergency services.
    No (re)fuelling of vehicles to be carried out on the showground.
  7. Uniforms:
    Wearing German war uniforms (wehrmacht, luftwaffe) is only allowed with a written permission from the organization. The request is possible via a specific registration form, which will be handed over on arrival.
    Participants in German war uniforms are absolutely not connected in right-wing ideas and ideologies and condemn all forms of anti-Semitism, fascism and racism.
    Visible SS insignia as Swastika’s are totally not permitted.
  8. Minors:
    Minors will only be admitted to the event when accompanied by an adult. It is forbidden to sell (parts of) arms and knifes to minors.
  9. Dogs:
    Dogs are allowed, if always kept on a leash and if they cause no inconvenience to co-participants and/or -visitors. They are not allowed in forest or forest edges.
  10. Fire safety:
    Making open fires (such as fire baskets) is strictly prohibited. This is for public safety as well as for environmental reasons.
  11. Weapons:
    Weapons, in accordance with the current Belgian legislation, is allowed. These weapons must have been neutralized, in accordance with the current Belgian legislation.
  12. Airsoft weapons and their usage:
    The use of these weapons during the event is put under a strict regulation. Any offense against the rules will have as result removal of the event.
    It is prohibited to fire with these weapons without authorization of the organization and this is only allowed in a dedicated zone, marked by the orgaization.
    On these dedicated locations, firing will be done with the correct ammunition, called BB’s, Each user will be equipped of protective goggles.
    Each spectator within a range of 50 m will also be equipped with protective goggles. The used ammunitions must be of biodegradable kind.
  13. Ammunition:
    Firing simulation ammunition is only possible provided that the group has a written permission from the organization and provided that they can submit a signed safety briefing.
    Firing pyrotechnical ammunition (for example flares and fireworks) is forbidden and leads to removal from the domain without the right to any compensation whatsoever.

    New directive of the Ministry of Justice:
    Old empty munitions above .50 and war material like mines and grenades are no longer allowed on the military fairs in Belgium.
    Empty shells above .50 are allowed, if they are visually recognized as empty.

  14. Drugs:
    The use, possession, distribution of and / or dealing in both soft and hard drugs on-site are strictly prohibited. In case of violation the organization will remove the offender from the domain. In case of hard drugs the police will also be notified.

Note:
Should, in cases of special force, the event not continue or take place, then the competitors cannot claim any compensation.
All participants and their assistants should abide by these terms and conditions. In case of an unforeseen situation, they are to obey the instructions of the organization and security personnel. In case of a dispute, the participant and his assistant will accept the final decision of the organization. Not abiding by these terms and conditions could lead to removal from the domain without the right to any compensation. In case of a difference, the Dutch version of the terms and contitions applies. At arrival each participator will receive a copy of the terms and conditions. Subscribed to the event, via the website or other means of communication, means that the terms and conditions are known and accepted.

Our website is https://www.wingsandwheels.be. Our organization, VZW4Def, is based at August Nihoulstraat 41, 3270 Scherpenheuvel, Belgium.

We organize Wings and Wheels, through our history in the army, interest and preservation of our history.

What personal data and why

When you visit our website, we record information about your use of the services, including the type of browser you use, usage times, pages visited, your IP address and the page you visited before you navigated to our page. We do this for security reasons and the protection of our website. (Hack, Spam and Attack security). We keep this information for 2 days and then it is removed from our register.

1. Comment

Commentaries, likes and posts are not enabled on our websites. The visitor of the website is therefore not able to do this, so we do not keep any information from this. On our website you can not log in, this is only possible for the administrator of the website.

2. Media

There is no possibility for a visitor to place personal media on our website. Only the administrator can, under control, add and place media.

3. Contact forms

There are various contact forms on our website. The specific pages are listed below with the data requested.
We need this data, with the specific purpose mentioned below. Additional information can always be found on the designated information page.
Not all data is mandatory to fill in, if required this is clearly indicated as well as an error message is displayed when sending the contact form negatively.
The entered data will only be stored if the user fills in everything correctly, as well as accepts our conditions and successfully passes through the Re-Captcha module. If successful, the visitor receives the relevant notification.

The following information is stored on our re-enactment form:
Date registration, first name, last name, e-mail address, address, postcode, municipality, telephone number, mobile number, group name, BFOV number, website, number of vehicles, width position, information support vehicles (number plate + brand), participation scenario demonstrations, extra info , acceptance Terms and Conditions.

Additional information regarding each vehicle that the visitor registers:
Name of driver, brand, type, year of construction, country of origin, license plate.

Additional information regarding each re-enactor that the visitor registers:
Name, address, zip code, town, country.

The data obtained via this form will be kept until the next edition of Wings and Wheels (second weekend of August), in order to facilitate re-registration. If the visitor does not re-register, his personal data will be removed from our register.

The data obtained via this form is kept until after the Wings and Wheels edition (second weekend in August).

The following information is stored on our contact form:
Date of message, first name, last name, e-mail address, mobile number, type of question, comments, acceptance.

The data obtained via this form will be kept until the visitor has handled his comment / question. If there is no further follow-up, the data will be deleted 30 days after the last message sent by the visitor.

Our website does not share data to third parties. All data that our organization obtains through our contact forms is exclusively intended for the Wings and Wheels event.

8. Duration of data

As already described above, the data we have obtained via the contact form is only kept for a certain length of time.
For forms such as that of the Fair, Wheels, Re-Enactment and Drive-In, this is up to the second weekend of August, the year after subscription.
For forms such as that of the Camping, this is after the conclusion of the Wings and Wheels event.
For forms like the Contact, this is up to 30 days after the last message from the visitor.

9. Rights over your data

If you have filled out a contact form and forwarded it, you can request an exported file of the personal data we hold about you, including all the information you have provided to us.
You can also ask to delete all personal information we have about you. This does not include all data that we are required to keep for administrative, legal or security purposes.

Security mechanisms

The website is monitored by Wordfence, which scans the content of the website and also manages the firewall.
